PURPOSE OF POSITION

To manage accounting and finance functions for the church, including general accounting, accounts payable, accounts receivable, payroll, and budget and financial reporting. To serve as backup for the Office Manager, taking over or delegating his/her duties and responsibilities in his/her absence. To coordinate the maintenance of the buildings and grounds of StoneBridge Community Church.

ACCOUNTABILITY

The Operations Manager reports directly to the Office Manager. As with all church positions, the Operations Manager is accountable to the Session, with the Personnel and Administrative Committee of the Session serving as interface.

SPECIFICATIONS

Employee will:

  • Have a personal relationship with Jesus Christ and regular attendance at a Christian church required (attendance at StoneBridge Community Church preferred)
  • Be punctual, organized, self-directed and able to follow a weekly/monthly schedule of activities and deadlines with minimum supervision
  • Present a pleasant, cheerful attitude toward callers, both those in person and those on the telephone
  • Present a well-groomed appearance appropriate to the office environment
  • Recognize information that is of a confidential nature, and the self-discipline to maintain that confidentiality
  • Be proficient in the use of office computers, utilizing word processing, desktop publishing, spreadsheet and accounting software (Quickbooks)
  • Work well with the other staff members and accept direction
  • On-site position that requires in-person presence   

REGULAR DUTIES/RESPONSIBILITIES

Financial

  • Manage and maintain investment portfolio including saving accounts and interest bearing checking accounts
  • Input and/or Review Filings for quarterly and annual state and federal required reports including State-EDD Employee Registry/Independent Contractors Report, State-EDD Report of New Employees, State & Federal Quarterly payroll reports, State & Federal Annual reports including W-2's and 1099's
  • Serve as a member of the Finance Team of Session

Accounting

  • Maintain accounting systems for both StoneBridge Community Church's general operation and capital campaigns including accounts payables, customer billings, receivables, general ledger, and bank reconciliations
  • Review deposits, review and approve disbursements and issue checks weekly
  • Review and issue monthly financial reports to be presented to Session by the Treasurer of Session
  • Review and record weekly contributions and supporting documentation by members/ individuals of the congregation. Issue Statements of Contributions to members/individuals periodically
  • Develop annual budget, in consultation with the Finance Team of Session, and cash flow including the coordination of input from individual ministry teams and Personnel and Administration committee
  • Process payroll bi-monthly for all church staff

Buildings and Grounds

  • Review, maintain and renew operational agreements/leases including janitorial, landscape maintenance, extermination, insurance, rubbish removal
  • Serve on the Buildings and Grounds ministry team and execute day-to-day action items, including ordering of materials and supplies
  • Conduct routine inspection tours of the campus and assist in securing outside bids when necessary
  • Maintain security logs including keys issued and alarm code issued. Monitor both fire and security alarm systems mandatory required service
  • Review and maintain lease agreements and facilities use agreements to assure tenant/user compliance of terms
  • Perform other duties as assigned, such as coordinating volunteers to set up and tear down furniture and equipment for church or special events

 Other

  • Negotiate with, and supervise the work of, service providers
  • Perform the duties of Office Manager duties in his/her absence
  • Perform other related duties as deemed necessary and appropriate
  • Recruit and supervise volunteers from the congregation for large administrative and/or campus projects

EMPLOYMENT STATUS AND PERFORMANCE REVIEWS

This is a full time, non-exempt position. Performance reviews shall be conducted annually by the Office Manager.
